Instructions for abstract submission

Abstracts can be submitted via email to vlaamsebuiatriecongres@gmail.com. Abstracts should be submitted as an MS Word document.

Important to consider

  1. Contact person: this is the person who submits the abstract
  2. Presenting author: this is the person who will attend the congress to present the work and who will appear as oral or poster presenting author in the program

Characteristics of abstracts

  1. All the abstract must be written in English, Times New Roman, Font size 11, Single spacing.
  2. If abbreviations are used in the abstract they must be defined.
  3. Do not mention names or commercial brands in the title. However, it is possible to indicate them, in square brackets, in the body of the abstract.
  4. If absolutely needed, a maximum of five references may be listed in alphabetical order. It is suggested to use bibliographic reference managers (EndNote, Refworks) in APA style.
  5. The abstract must contain a minimum of 215 words and cannot exceed 700 words. Do not include double spacing between sentences, as it may result in incorrect word counts. The title and authors are excluded from the word count.
  6. Abstracts should be structured as follows:
    • Contact person + email address + affiliation
    • Presenting author + affiliation
    • Co-authors
    • Title (Font size 14, bold)
    • Objectives
    • Material and methods
    • Results
    • Conclusions
    • References (if needed)
  7. Images, figures, charts, tables and graphs are NOT allowed.
  8. Upon successful submission of the abstract, a confirmation email will be sent. If the contact person does not receive a confirmation email within two weeks of submission, please contact hans.vanloo@ugent.be. Other questions regarding the abstracts can be send to this email as well.
  9. Please check your abstract for typing, grammatical or scientific errors. No corrections will be possible after the deadline for final submission. The abstract will be reviewed as submitted, no editorial revisions or corrections will be made.
  10. The content and presentation of abstracts are absolutely the responsibility of the authors.

Evaluation of the abstracts

  1. The evaluation of the abstracts will be carried out by the congress scientific committee taking into account the potential scientific value, the originality of the work, ethical considerations and correct writing in the English language. Relevance, objectivity, clear description of the work, the relation of the methodology with the objectives, and the congruence between results and conclusions will all be considered.
  2. The contact person will be notified as of July 2025 if the abstract has been accepted as an oral or poster presentation, or rejected. Notifications will be sent by e-mail to the contact person by email. Together with the notification, if the abstract is accepted, the contact person will be informed of the date, time and form of presentation.
  3. In order for the abstract to be published in the conference proceedings, authors of accepted oral presentations must register and pay the registration fee (early bird) before the registration deadline. 

Publication policy

All abstracts accepted for oral or poster presentation will be published in the scientific proceedings of the congress.
